Production Coordinator (Freelancer)
Coordinate fashion, luxury and media shoots for ITP Media Group, gaining hands-on experience in planning, suppliers, budgets and on-set production across leading regional titles.
About the Role
ITP Media Group's Luxury Division produces photoshoots for some of the region's leading fashion and lifestyle titles, including Harper's Bazaar Arabia, Esquire Middle East, Cosmopolitan Middle East, Grazia Middle East, COMPLEX MENA and T: New York Times Style Magazine MENA.
We are looking for a Production Coordinator / Junior Producer to support the production team across editorial, commercial and branded content shoots. This is a hands-on role for someone highly organized, proactive and calm under pressure, with a strong interest in fashion, luxury, media and content production. The successful candidate will gain experience across the full production process, from early planning and supplier coordination through to on-set delivery, financial reconciliation and post-production tracking.
Key Responsibilities
Support the Executive Producers across all stages of editorial, commercial and branded content productions.
Support shoot preparation, including crew coordination, talent requirements, props, equipment, catering, transport and production logistics.
Provide on-set support across all shoots, ensuring the team, talent, suppliers, equipment and schedule are running smoothly.
Independently manage smaller-scale shoots, including still-life, studio and Inside Stories productions.
Prepare and circulate call sheets for all shoots, ensuring all relevant details are accurate, clear and distributed on time.
Attend location recces and scouting visits, supporting with location research, access requirements, permits, timings and logistical planning.
Support invoice reconciliation, ensuring supplier invoices are received, checked against approved costs and submitted correctly.
Maintain accurate cost-sheet records and support Producers with budget tracking throughout each production.
Manage and maintain the post-production tracker sheet, ensuring project statuses, deadlines, edit rounds, approvals and delivery dates are accurately recorded.
Manage studio bookings and maintain a clear overview of studio availability, bookings and requirements, ensuring studio equipment is kept organized, tidy and production-ready at all times.
Maintain production kits, ensuring essential supplies are fully stocked, including water, refreshments, stationery, batteries and other shoot-day essentials.
Coordinate regular casting calls with local agencies in our studio.
Maintain supplier and talent database sheets to ensure databases remain accurate and useful.
Skills and Experience
Strong organizational skills and excellent attention to detail.
Magazine / media experience is preferred.
A proactive, solutions-focused approach with the ability to anticipate production needs.
Comfortable working in a fast-paced environment and managing multiple priorities.
Strong written and verbal communication skills.
Confident using Excel or Google Sheets, particularly for cost sheets, trackers and reconciliations.
An interest in fashion, editorial, luxury, film, photography or media production.
Previous production assistant, studio assistant, events, agency or administrative experience is beneficial but not essential.
A willingness to learn, take ownership and gradually step into greater responsibility.
